Working Remotely

Below is a list of information technology resources available to enable members of the UTHealth Houston community to work remotely and securely.
For information on telecommuting procedures and policies, see Human Resources.

When working from home, adhere to the university’s Transportation of PHI policy at all times.

Most ways to work remotely need to be set up from campus before they can be used. Read through this guide and prepare any tools you require in advance.

Connect to UTHealth network  UTHealth Virtual Private Network (VPN)

The UTHealth Virtual Private Network (VPN) enables staff, students, and faculty to securely connect to the university's network from home and other remote locations.

It is the responsibility of students and employees with VPN privileges to ensure that unauthorized users are not allowed access to UTHealth internal networks.

When you no longer need the access or security VPN provides, we encourage you to disconnect from the VPN server.

Enrollment in Duo two-factor authentication is required for logging into the VPN client.

Two-factor authentication, also known as two-step authentication, adds an additional layer of assurance to your normal login process. This is done by both verifying something you know, such as a password, and something you have, such as a phone.

Please visit IT Security's Two-Factor Authentication site for more information on how to enroll your device.

Self-enrollment is limited to on-campus only.

Online meetings Teams Meeting

Students, faculty, and staff can use this technology, free of charge, to schedule interactive online meetings. Teams Meetings includes Outlook calendar integration, allowing you to schedule Teams Meetings directly from your Outlook calendar. Each online Teams Meeting you host will support up to 1,000 (20 if launching a Teams Video/Audio call from an on-going chat session).

Online meetings, Telemedicine* Zoom

Students, faculty, and staff can use Zoom free of charge, to schedule interactive online meetings. Users needing a new Zoom account can simply log into Zoom using this link, https://uthealth.zoom.us will be instantly provided a license.  UTHealth Faculty and Staff will receive upgraded licenses with no time limit for meetings and students will receive a basic license that has a 40-minute time limit for meetings.

Recordings of Zoom meetings will save to the Cloud as a default with the ability to download the meeting afterward.  Zoom recordings will only be available to 15 days, after which the recordings will be purged.

*DISCLAIMER: NON-UTP Providers can use Zoom to conduct telemedicine sessions with a patient using a HIPAA-compliant professional license.
Providers within the UTP Practice Plan may only use Epic MyChart for telemedicine.

Access UTHealth Employee Self Service functions (Timesheets, Payroll, Benefits, etc.)

OneSource, Memorial Hermann Hospital System’s, physician portal operates through VDI, a virtual environment that moves with you from Memorial Hermann computers, your computer or personal devices. One of the central physician apps is Care4. https://one.memorialhermann.org/

Academic - Educational and collaborative tools UTH-Share

UTH-Share is UTHealth’s implementation of Google's G Suite for Education--a set of cloud-based collaboration tools that allow users to create, store and share Google documents with others both inside campus and around the world.

Canvas Catalog allows you to publish non-credit Canvas courses in an attractive online catalog that is available to users outside UTHealth.

Password Reset Self Service Password Reset (SSPR)

A web-based application that allows UTHealth students, faculty, and staff to change their current password or recover a forgotten password. A password can be recovered either through a personal email account or mobile phone if it has been enrolled through SSPR.

Lecture Capture Panopto

Panopto is a lecture capture software that allows instructors to record video, audio, and screen activity on a computer and automatically uploads the content most usually into the course for which it was recorded, for viewing online.

Digital certificates are electronic credentials that bind the identity of the certificate owner to a pair of electronic encryption keys, (one public and one private), that can be used to encrypt and sign information digitally.

Collaborative tools and productivity software Office 365/OneDrive

UTHealth's current implementation of Office 365 provides several cloud-based collaboration and productivity tools. You can also download a copy of the full Microsoft Office suite to your local machine.

Collaboration and Communication Tool Microsoft Teams

Microsoft Teams speeds up communication via Teams chat and allows for collaboration between team members who are working remotely.

Teams can be accessed by using a web browser, mobile device or the Teams application that can be installed on your UT computer. Use your UTHealth email address and password to log in. 

NOTE: From your home computer, only access Teams via a web browser. Do not download any sensitive university documents to non-UT computers. If you intend to use Teams on your mobile device, ensure it is secured with a PIN to protect university data.

PhysicianLINK has been replaced by OneSource. This portal operates through VDI, a virtual environment that moves with you on Memorial Hermann computers, your computer or personal devices.
