FAQ

  • How do I register for an iLab account?
    1. Log into the iLab system with your UTHealth credentials.
    2. Select the lab under which you will operate. This will trigger an approval email to the lab manager or PI.
    3. Your registration is complete! You will not receive access immediately as your lab manager or PI will need to approve your request through the approval email sent to them or through the lab's iLab portal. If you have not been accepted after a few days, please contact your lab manager/PI or email Amy Hazen or Samantha Staton to get you approved.

  • Can I be registered in more than one lab?

    Any user can be a part of as many labs within iLab as they need. To do so:

    1. Log into iLab
    2. Open the Menu > My Groups
    3. Select Request Group Access and search for the home institution of this new lab
    4. Search for the PI's or lab manager's name
    5. Click "Request Access." This will trigger an approval email to the lab manager. Once your registration is approved, you will receive access to the new lab.
  • Can I access cores at different institutions?

    Absolutely. Through your current account, you can access any core that is hosted through iLab. 

    1. Log into iLab
    2. Open the Menu and select the Core Facilities Header
    3. On this new page, to the right, change the viewing criteria to Cores at Other Institutions
    4. Using the search bar to the right, you can search for the institution that houses the core or search for the core's name directly.
    5. Select the name of the core and it will bring up the core's landing page for you.
  • How do I add a new lab member?

    If the new lab member is already registered within iLab:

    1. Sign into iLab and select Menu > My Groups
    2. Click your lab name
    3. Select the Members tab
    4. At the bottom of the page, click on ‘link existing user’ and search for the user. If their name does not come up, they are not yet registered and will need to do so before you can add them.

    Note: you will need to assign them a Chartfield String they can use in order for them to schedule any equipment.

     

    If the new lab member is not yet registered in iLab:

    1. They will log into the iLab system with their UTHealth credentials.
    2. Select the lab under which they will operate.
    3. Their registration is complete! You can now approve them via email link or through iLab.
  • How do I know if someone requested access to my lab?

    When new members request access to your lab, you will receive notice via an email from [email protected]. Please check your spam folder if you are expecting a new request.

    You can also check via iLab:

    1. Log into iLab and open the Menu > My Groups
    2. Select the correct lab's name
    3. Click on "Membership Requests & Funds" tab.

    From here, you should be able to see the new request and approve or deny it.

  • How do I add a new CFS to my account?

    In order to reserve equipment with any of our service centers or cores, you must have at least one valid Chartfield String connected to your iLab account before the reservation. When filling out the reservation, any CFS that you have available will appear in a drop down menu of available payment methods.

    If you need to use a different CFS than what appears in the menu, please contact Amy Hazen or Samantha Staton with the specific CFS to get it attached to your account. These are at an institutional level and cannot be done by the iLab help team or an individual PI. 

  • How do I change the CFS permissions of anyone within my lab?

    Only those who are the lab manager or who are assigned the role of financial contact within iLab can change the CFS access given to each lab member.

    To change a member's access to any lab CFS:

    1. Log into iLab and open the Menu > My Groups
    2. Select the correct lab's name
    3. Click on "Membership Requests & Chartfield Strings" tab.

    From here, you can select or de-select any member's access to any CFS listed within your lab. Once that CFS has been checked for them, they are now able to select it from the drop-down payment options any service center.
